WATA is hiring for an administrative support role that focuses on daily administrative functions supporting staff, drafting, and editing various reports and documents, maintaining databases/records, providing customer service and assisting with daily operations. This position is part-time and salary considerations are dependent upon the candidates qualifications.
There are three levels of Administrative Assistant distinguished by the level of work performed and the qualifications of the employee.
Administrative Assistant I : $18.02 - $27.77 / hour DOQ
Administrative Assistant II: $19.24 - $29.72 / hour DOQ
Administrative Assistant III: $20.56 - $31.83 / hour DOQ
Responsibilities:
• Records meeting minutes; generates, compiles and distributes agenda materials for public and internal meetings.
• Acts as the main point of contact for employees and visitors, providing information or directing inquiries as needed.
• Facilitates communication and coordinating activities to ensure efficient workflow while organizing and maintaining both digital and physical filing systems.
• Supports the Executive Director and staff in any administrative functions; serves as the Freedom of Information Act (FOIA) Officer, liaison to the Library of Virginia for records management and overall Williamsburg Area Transit Authority (WATA) administrator for records management, and to the WATA Board of Directors.
• Liaison between WATA and the James City County Human Resource Office for basic records management; including facilitating job postings, hiring actions and coordinating on-boarding.
• Responsible for daily office activities to include calendar and scheduling management and basic office supply procurement.
• Performs other duties as assigned.
Qualifications:
• Any combination of education and experience equivalent to a high school diploma; some experience in general clerical work preferred.
• Must possess reliable transportation to work site(s).
• Ability to establish and maintain effective working relationships with other employees, vendors, and the public; communicating effectively in all correspondence both orally and in writing.
• Skill in the use of computer software, especially Microsoft Office Suite.
• Ability to maintain moderately complex records and ensure their confidentiality; follow verbal and written instructions; work under pressure and meet deadlines; resolve problems and complaints and deal with irate customers effectively; understand and interpret policies and procedures.
