The Williamsburg-James City County Commonwealth's Attorneys' Office seeks a responsible individual to perform administrative support for prosecutors and paralegals.
There are three levels of Court Administrator distinguished by the level of work performed and the qualifications of the employee.
Court Administrator I: $48,856 - $75,955
Court Administrator II: $52,254 - $81,393
Court Administrator III: $55,910 - $87,242
Responsibilities
• Responds to inquiries by citizens, police officers, defense attorneys, and staff, when possible; directs inquiries to attorneys or paralegals when necessary.
• Prepares physical case files, uploads appropriate documentation and file materials into electronic case files, inputs data into case management system, and maintains filing system; prepares and processes documents for recording in all courts.
• Reviews offsite servers to ensure the presence of Body Worn Camera evidence; facilitates the setting of cases and hearings in all courts.
• Provides administrative support to attorneys and paralegals; assists with cases for bench and jury trials; generates necessary witness subpoenas for all court hearings; drafts Show Cause and Capias requests for attorney review and submission to the court.
• Serves as backup to front of office assistant; facilitates workflow; prioritizes work; organizes pending court dockets; sets court dates; ensures work is completed in a timely manner.
• Performs other duties as assigned.
• Court Administrator II – ensures case files and dockets are complete and ready for attorney review. Liaises with defense attorneys, law enforcement and court personnel to maintain smooth criminal justice processes.
• Court Administrator II – level of expertise with non-routine court requirements such as extraditions, expungements and court ordered sealing.
• Court Administrator II – is primary point of contact for office with respect to court processes in their assigned court.
• Court Administrator III – exercises independent problem solving with respect to issues encountered with dockets and case files. Evaluates workflows to identify where improvements are needed.
• Court Administrator III – assists with training and mentoring new Court Administrators. Stays current with court process and procedure changes and updates.
• Court Administrators III – develops a high level of knowledge with regards to their specific court assignment. Maintains a high degree of familiarity with administrative court requirements.
Qualifications:
• Any combination of education and experience equivalent to a high school diploma; experience in general clerical work and in a criminal justice setting preferred.
• Must possess reliable transportation to work site(s).
• Knowledge and understanding of government and the legal system; knowledge of various court systems and their local rules, laws, legal codes, court procedures, and precedents preferred.
• Skill in the use of computer software, especially Microsoft Office Suite.
• Ability to establish and maintain effective working relationships with County employees and the general public; ability to communicate effectively both orally and in writing; appropriately handle sensitive information and maintain confidentiality; understand and interpret policies and procedures.
